The Evaluation Audit is the second step in our four-step framework and includes three meetings. This is the stage where we examine the systems your company runs on and determine the low-hanging fruit for AI and automation implementation.

Meeting 1: Discovery & Initial Assessment Objectives:
- Get the basic overview of your business (if we didn’t already do an Exploration Call)
- Discuss top-of-mind issues and identify immediate pain points in operations
- Outline high level business operations
- Introduce and explain the evaluation spreadsheet
- Conduct a comprehensive review of the current tool stack and processes
- Analyze bottlenecks and inefficiencies in current processes
- Highlight potential high-impact areas for automation
- Narrow down to the top workflows for further exploration
Outcomes & Prep Work:
- Initial selection of high impact workflow areas for automation
- Set the stage for detailed workflow mapping
- Schedule the next session
- Fill out any remaining information in the evaluation spreadsheet
Meeting 2: Deep Dive & Workflow Mapping Objectives:
- Review the completed “task drill down” and choose 1-3 high potential automation opportunities
- Discuss value, ROI potential and implementation complexity
- Collaboratively design a flowchart for at least one high-impact opportunity
- Explore additional workflows as time permits, preparing them for future projects & development of an AI roadmap
Outcomes:
- Finalized flowchart(s) for one or more workflow(s)
- Clear plan for implementing automation of planned workflow(s)
- Schedule the final meeting
Meeting 3: Strategic Planning & Next Steps Objectives:
- Present and refine proposed automation solutions for top opportunities
- Select pilot project(s) for immediate implementation
- Discuss and agree on key performance indicators (KPIs) for measuring success
- Discuss implementation strategies and potential risks
- Review roadmap for full implementation and future automation projects.
Outcomes:
- Green-lit pilot project(s) with defined success metrics and KPIs
- Clearly defined timeline for implementation of pilot projects
- Agreement on follow-up process to monitor progress and adjust as needed
- Next steps insights laid out for long-term automation planning
- DELIVERY: Finalized automation proposal for selected opportunities
